The Texas Society of Architects is seeking a full-time Office Manager for its operations. As an organized, friendly, and dynamic individual, you will be the welcoming face and voice of the organization. The Office Manager reports to the Director of TxA Membership & Texas Architectural Foundation and works in a team-oriented atmosphere supporting the Society’s membership and an 11-member staff across all departments, including advocacy, events, and membership.

The Texas Society of Architects (TxA) was founded in 1939 as the state component of the American Institute of Architects. As a 501(c)(6) professional membership organization of approximately 7,500 architects, TxA is the voice for Texas architecture, supporting the creation of safe, beautiful, sustainable environments. TxA advances Texas architecture, the architectural profession, and the power of design through advocacy, knowledge, and communication.

TxA works on behalf of Texas architects to ensure they are broadly represented and are recognized as creative and innovative leaders for the built environment. Headquartered in Austin, TxA is the third largest regional component of AIA National and host of 18 local AIA components.

TxA is a catalyst for collaboration and diversity, governed by a Board of Directors, stewarded by staff, and driven by a set of actively engaged committees. Our membership model and annual conference are the primary fuel for the Society’s budget. Headquartered in Austin, Texas, TxA also is the organizational home of the Texas Architects Committee political action organization and the Texas Architectural Foundation, which provides scholarships to students at Texas schools of architecture, and the publisher of Texas Architect, a bimonthly magazine.

Job Responsibilities Include:

  • Work closely with all departments in an administrative support capacity
  • Collaborate with other AIA Components as well as associations with similar missions
  • Source and stock office supplies and equipment
  • Maintain office by keeping common areas neat, organized, and welcoming
  • Inventory and stock breakroom snacks and supplies
  • Organize mailings, operating the postage machine, and ship items as needed
  • Maintain office by scheduling service/repair providers for AC, plumbing, office equipment, as needed
  • Help schedule and set up in-person meetings (including ordering meals, stocking beverages, and conference rooms)
  • Ability to plan group meals, while being conscientious of food sensitivities
  • Answer and direct phones and emails
  • Receive visitors and solicitors with warm friendliness.
  • Help to organize staff events, celebrations (i.e. track staff birthday, anniversary and milestone celebrations)
  • Play a critical role in keeping the TxA office a positive and productive environment
  • Support allied Society initiatives, such as the annual conference and design expo
  • Assist with general office administrative needs, and other duties as assigned

Required Skills and Qualities:

  • At least 1-2 years of professional experience in an administrative or support position.
  • Excellent skills in organization, prioritizing tasks, and attention to detail
  • Work well in a collaborative team, as well as independently, with the ability to self-direct as needed and be proactive in completing assignments
  • Strong written, verbal, and interpersonal communication skills
  • Proficiency with Microsoft Office Programs (Word, Excel, Outlook, and PowerPoint)
  • Knowledge of Quickbooks is a plus
  • Interest in architecture and design is a plus
  • Position is in Austin, TX and is an in-office position
